How to Join Us Online
This year’s annual homeowners association (HOA) meeting will be an online zoom meeting. In this article, we help you navigate how to use zoom so you can attend the annual meeting being broadcast. This includes how to join a zoom meeting on your mobile phone or computer using a link sent to you via email.
Registering for the Zoom Meeting
To join the meeting, first you need to register. You can register anytime before or during the meeting. We strongly encourage you to register before the meeting - it takes only a few minutes. If you wait until it’s time for the zoom meeting to begin you may miss part of the meeting. To register, click the registration link: bit.ly/25PRVGPR or scan this QR Code:
A web page appears like the example below. Enter your first and last name, your email address, mailing address, and phone number. You may also add any questions you'd like addressed at the meeting. Then, click the "Register" button.
After registering, you will see a message saying your registration is pending approval, similar to the image below:
Once your registration is approved by the host, you will receive a registration confirmation email that provides the link to join the zoom meeting. Your confirmation email will look similar to the example below:
To Attend the Zoom Meeting, Click the blue "Join Meeting" button in the Registration Confirmation Email
When it's time for the meeting to begin, click on the blue "Join Meeting" button in the confirmation email you received when you registered. (See an example of the email above.)
For first time users, Zoom requires you to download the Zoom app. If you choose, you can download the app before the Zoom meeting. Otherwise, you’ll be prompted to download and install Zoom when you click the registration link found in the zoom meeting invitation.
If you’ve previously downloaded the Zoom app
Once you've clicked on the link, a prompt to open the Zoom app may appear. If it does,
Click the “Open Zoom Meetings” button.

What You See During a Zoom Meeting
Some of you may be familiar with an online Zoom meeting. It will look similar to the image below. You will be able to interact with everyone attending the meeting via your PC or smartphone's video camera and microphone.
Learn how to make a comment, participate in a poll, or ask a question in the next section.
During the Zoom Meeting
As you view the Zoom meeting, you will be able to ask questions and make comments. When making comments please be sure that your microphone is unmuted so that others can hear you. Also, please be considerate and mute when you are not talking, especially if you are in a noisy environment. You may also be asked to participate in polls during the meeting.
Polls
When the host activates a poll question, an image similar to the following example will appear. Answer the poll question and then click on "Submit" to send in your answer.
Once attendees have submitted their responses, a screen displaying the responses may appear similar to the below image.
If the poll window has closed while the poll is still open and receiving responses, click the “Polls/quizzes” menu option at the bottom of the screen to reopen the poll window. You may need to click on the "More" button first to see the Polls/quizzes option.
Leaving the Meeting
Click “End" (in red on the right of the menu bar) to leave the meeting at any time. If you do not see the menu bar, move your mouse or touch your screen if attending on a smartphone to display the menu.
If you leave, you may rejoin if the zoom meeting is still in progress by again clicking the blue "Join Meeting" button in the registration confirmation email. (Click here to go back to that step.)
